What Is an Access Control System? A Plain-English Guide for Businesses
What an access control system is, how it works, and how Las Vegas businesses use key cards, fobs, and mobile credentials as part of commercial security.
An access control system is an electronic system that controls who can enter which doors of your business, and when. Instead of keys, employees use a key card, fob, PIN, or their phone; the system unlocks the door only for people with permission and records every entry. Sting Alarm installs cloud-based access control as part of complete commercial security systems in Las Vegas and Phoenix.

Many business owners have heard of access control but are not sure how it works or what it adds. This guide covers the basics and how it fits into a commercial security system.
How does access control work?
Every access control system has the same core parts:
- Credentials. What a person presents at the door: a key card, a fob, a PIN, or a mobile credential on a phone.
- Readers. Mounted at each controlled door, the reader takes the credential and sends it to the system.
- Controller and software. The system checks whether that person is allowed through that door at that time. Today this is usually cloud-based, so you manage it from an app or browser.
- Electronic locks. If access is approved, the lock releases. If not, the door stays locked and the attempt is logged.
When an employee leaves or changes roles, you update their permissions in the app. There are no keys to collect and no locks to rekey.
Why businesses add access control
A record of who came and went
An access control system records every entry and exit by person, door, and time, during business hours and after. Paired with video surveillance, you can match each door event with video.
The right clearance for each person
Open access to every room invites theft, fraud, and mistakes. Access control lets you give each person access only to the areas they need, and change it as roles change.
Automatic locking
Program doors to lock and unlock on a schedule, so the building is secured after hours even if someone forgets.
Multiple locations from one app
If you run several stores, offices, or warehouses, cloud access control lets you manage every site in one place. Learn more about security for multiple locations.
Faster response in an emergency
From the app, you can lock or unlock specific doors quickly, whether you are on site or away.

Frequently asked questions
What is an access control system?
An access control system is an electronic system that decides who can open which doors, and when. Employees use a key card, fob, PIN, or phone instead of a key, and the system records every entry.
How does access control work?
A reader at the door checks the credential a person presents against the permissions set for that person. If the credential is allowed at that door at that time, the system unlocks the door and logs the entry. If not, the door stays locked and the attempt is recorded.
What are the main types of access credentials?
Key cards and fobs, PIN codes on a keypad, and mobile credentials on a smartphone. Many businesses mix them, for example cards for staff and temporary codes for vendors.
Can access control work across several locations?
Yes. Cloud-based access control lets you manage doors, people, and schedules for every location from one app.
Does access control replace my alarm system?
No, it works alongside it. Access control manages who gets in, while the alarm system detects intrusions. Connected together, the same app can show door activity, alarm events, and video.
